ANNEXURE - I

 TERMS & CONDITIONS OF RATE CONTRACT FOR SUPPLY OF STATIONARY ITEMS 

 

(1)          NEDFi wishes to procure the stationary items/ computer cartridges under Rate contract for a period of two year. Agency is allowed to quote: - (a) Stationary item (b) Computer cartridges, or, (c) both.

(2)          The agency should be reputed and should have VAT, CST and TIN Number.

(3)          The tender document shall be in a sealed envelope superscribing ‘Tender for Stationary items under Rate Contract in two bid system.

(4)          Sealed quotations are to be submitted in two parts viz. -

            (i) Technical bid (Annexure A) and

            (ii) Contract Rate Bid.

The Technical bid should be submitted in a sealed envelop subscribing “Stationary Rate Contract – Technical Bid. The other sealed envelope should contain Rate Bid and subscribed as “Stationary Rate Contract – Rate Bid”. Both these sealed envelopes should be put in a third envelope subscribing “Rate Contract Bid for Stationary Items/ Computer Cartridges”, as the case may be. The “Rate Bid” envelope will be opened of only those bidders/parties whose offer qualify the “Technical Bid”. Those bidders who qualify after the Technical Bid will be informed over telephone so that they can be present during the opening of “Rate Bid”.

(5)          The Stationary items being quoted should be of Original Manufacturer and no non-standard item should be quoted. Make of the items to be quoted should be clearly mentioned. The items should be quoted only of the particular make as mentioned in the tender document.

(6)          The agency is required to deposit the Earnest Money Deposit (EMD) of Rs. 5,000/- (Rupees five thousand only) (Refundable) as mentioned above along with tender document; failing which their offer shall not be considered by NEDFi.

(7)          The tender document (non-transferable) is Rs. 500/- (Rupees five hundred only) and the same can be obtained during office hours at “NEDFi, Basundhara Enclave, B.K. Kakati Road, Ulubari, Guwahati – 781007”. The last date of obtaining tender forms is 15/05/2007. Those who download the form shall have to pay Rs. 5000/- (Rupees five thousand only) as EMD and Rs.500/- (Rupees five hundred only) as fees for tender document by demand draft.

(8)          The Unit rates should be clearly quoted for each item. The rate quoted should be inclusive of all taxes. The items are required to be supplied F.O.R. NEDFi, Guwahati. The rates to be quoted by the agency should be valid for a period of 2 (two) years from the date of placement      of order for Rate Contract.

(9)          In case, tenderer fails to supply the stationary within 24 hours, order may be cancelled and NEDFi has liberty to purchase the said items from other sources and the difference in price shall have to be borne by the tenderer.

(10)      Supply order shall be issued on need basis during the Rate Contract period.

(11)      NEDFi reserves the right to reject or accept any tender without assigning any reason.

(12)      NEDFi reserves the right to alter/ modify any or all conditions of this tender notice.

(13)      In case of any dispute, the Company Secretary & Dy. General Manager (Legal, HRD & Admn.)  shall decide the issue and his decision will be final and shall be binding on the parties.

(14)      Each tenderer should clearly specify that the tenderer agrees to abide by the conditions of this tender document on their printed letter head indicating hereon Sales Tax Registration, TIN Number, FAX, e-mail, Telephone numbers, etc.

(15)      Payment shall be made on monthly basis on the receipt of bills. Supply Order & Challan bearing proof of receipt of delivery of supplied items by NEDFi’s authorized officials, must be enclosed will the bill.

(16)      The sealed quotations should reach this office on or before 15/05/2007 (2:30 p.m.)
